This notice is provided voluntarily to explain how BristolCars.info handles member and visitor information. It is not a representation that BristolCars.info is an APP entity under the Privacy Act 1988.

BristolCars.info is a privately administered, non-commercial discussion forum for Bristol car owners and enthusiasts. In this policy, “BristolCars.info”, “we”, “us” and “our” refer to the BristolCars.info Forum Administration.

This notice explains what personal information the forum collects, why it is collected, how it is used and protected, and the choices available to forum members and visitors.

Depending on how you use the forum, we may collect and hold:

• your username, email address and account authentication information;
• information you choose to add to your member profile, such as your location, interests, signature, avatar and vehicle details;
• registration requests and correspondence with the forum administrator;
• posts, replies, private messages, photographs, albums, documents and other material you submit;
• forum and thread subscriptions, email-notification preferences and related delivery information;

Please do not publish personal information about yourself or another person unless it is appropriate to make that information publicly available.

We collect information:

• directly from you when you request an account, update your profile, communicate with the administrator or submit content;
• automatically when you visit, sign in to or use the forum; and
• through the forum’s moderation, security, email-delivery and technical-support processes.

We use personal information to:

• assess registration requests and create and administer member accounts;
• authenticate members and maintain login sessions;
• display profiles, posts and other content according to the forum’s settings;
• operate thread, forum and other member-requested email notifications;
• enable members to manage their subscriptions and communication preferences;
• moderate discussions and enforce forum rules;
• prevent spam, fraud, abuse and unauthorised access;
• investigate technical problems and protect the forum, its members and its data;
• maintain backups and recover the service following a fault; and
• comply with lawful requests and applicable legal obligations.

We do not sell or rent members’ personal information or email addresses. We do not use member information for unrelated third-party advertising lists.

Usernames, profiles, posts, photographs and other material submitted to public areas may be visible to other members, visitors and search engines. Copies may also be quoted, cached or archived by other people or services outside our control.

Closing an account does not necessarily remove public posts or replies. Forum discussions may be retained to preserve the continuity and usefulness of the community. Where appropriate and reasonably practicable, we may remove or anonymise personal details while retaining the discussion content.

Private messages are stored on the forum server. They are intended for the participating members, but may be accessed by the administrator where reasonably necessary to investigate abuse, respond to a complaint, maintain the service or comply with law.

The forum uses cookies and similar browser storage to maintain sessions, remember login choices, preserve preferences and support security. If you select “Remember Me”, a persistent cookie may keep you signed in on that device. Do not use that option on a public or shared computer.

You can remove or block cookies through your browser settings, although some forum features may then stop working correctly.

Members can choose whether to receive notifications about forum activity. These messages identify BristolCars.info as the sender and include a link or instructions for managing or disabling the relevant notification.

Email delivery providers process the recipient address and technical delivery information on our behalf. Delivery events such as successful delivery, deferral, bounce, complaint or suppression may be recorded so that we can operate the service and protect its sending reputation.

We may disclose or make personal information available to service providers where reasonably necessary to operate and protect the forum. These providers may include:

• data-centre, server-hosting and backup providers;
• DNS, content-delivery and security providers, including Cloudflare;
• email-delivery providers, including Twilio SendGrid; and
• technical advisers assisting with maintenance, security or recovery.

These providers may process information outside Australia, including in the United States and other countries where they or their subprocessors operate. Their handling of information is also governed by their own contractual and privacy obligations.

We may also disclose information where required by law, to respond to a lawful request, or where reasonably necessary to protect the rights, safety or security of the forum, its members or another person.

We use reasonable administrative and technical measures to protect personal information against loss, misuse, unauthorised access, alteration and disclosure. These measures include access controls, restricted administration, software maintenance, monitoring and backups.

No internet service can guarantee absolute security. Members are responsible for choosing a strong, unique password and protecting access to their email account and devices.

We retain account information while an account remains active and for a reasonable period afterwards where it is needed for forum administration, security, dispute handling or legal purposes.

Public discussion content may be retained after account closure as described above. Technical logs, delivery records and backups are retained for operationally necessary periods and are overwritten or deleted according to the forum’s maintenance and backup cycles. Deleted information may remain in backups until those backups expire.

Members can review and update much of their account and profile information through the forum’s account settings.

To request correction or deletion of personal information in forum posts, or to request account closure, contact us using the details below. We may need to confirm your identity before acting. Some information may need to be retained for security, legal or forum-integrity reasons, and public discussion content will not normally be deleted, although we may choose to anonymise it .
